BELOW IS A GOOD EXAMPLE OF MEANINGFUL CONTRIBUTIONS:
In order to make our administrative bi-weekly meetings more meaningful and more productive, she took the initiative to develop agendas for each meeting and take minutes along with documenting tasks and responsible people to take care of them. We started seeing immediate results: Things were getting done. She is available to our directors 24/7. Her constant availability saves our directors countless hours and contributes to improving our client satisfaction. She is a pro at addressing any problems with the cell phones, for the firm’s directors or anyone in their families. If the directors’ flight arrangements have to change, she always has their travel information available, even on the weekends and is able to cancel or re-book flights at a moment’s notice. She is instrumental in helping with the director’s board meeting minutes as they relate to Robert’s Rule of Order. Without exception, she is one of our firm’s leaders when it comes to technology. She is always looking for better ways to improve our team’s efficiency through the use of technology and always makes herself available to share this knowledge with others. She initiated weekly meetings with her two direct supervisors -- the firm’s managing director and the firm’s audit director. She reviews with them their 30/60/90 day schedules and ensures everyone is on the same page or corrective action is taken. The result is a highly structured and efficient work week with confirmed appointments, met deadlines and proactive communications. She helped our directors eliminate distractions, keeping on pace with their monthly hours budget and thus, becoming more productive. She has been so excellent in managing her administrative duties, another director at the firm asked her to meet with that director’s administrative assistant to ensure her best practices were implemented in that director’s department. Since 2001, she has been performing official notarial duties in our day-to-day business. She is an active member of the National Notary Association and diligently keeps up with any updates to the notary regulations and changes. Recently, she introduced to our team members IAAP’s training program called OPTIONS: Office Professionals Training for Information, Organizations and Networking Skills -- a self-directed training program that can be completed in 12 months or less. So far, our team members were able to train on such topics as “Creating Rapport: Using Personal Power to Influence Without Control” and “Creative Decision Making: Using Positive Uncertainty.” The team will resume the training after the busy tax season. She pioneered the use of web cams for off-site interviews. By using Skype for interviews, our firm saved a considerable amount of time and money when we needed to interview someone out of area. She took it one step further -- she researched and provided our IT department with business videoconferencing options. Our IT team is currently in the process of reviewing them and making a final decision. Her commitment to her organization came through loud and clear when she insisted her supervisors give her specific goals to attain. So far, she is the only administrative professional at our firm who has specific and measurable goals tied to a timeline and our firm’s strategic objectives. She is setting the bar for other administrative professionals at our firm to follow.
